ALS Civil Engineers is a dynamic infrastructure consultancy based in the UK, specialising in civil engineering solutions across transport, utilities, and environmental sectors. ATL Services relies on SharePoint as a central platform for managing company documents. Over time, one of its main libraries has grown significantly in size, becoming difficult to manage and causing performance issues. Staff have experienced delays and system instability, particularly when synchronising files via OneDrive. The library was originally created as a direct copy of the company’s previous server setup, but its scale has since exceeded practical limits. This has highlighted the need for a more structured and sustainable approach to document storage and access.
To resolve the issue, we initiated a comprehensive restructuring of ATL Services’ SharePoint environment. In addition to maintaining existing, smaller libraries, we introduced new, purpose-built libraries to redistribute the data currently stored in ATL_Server. These new libraries are now visible on the main SharePoint page and are designed to be more manageable and efficient.
Access permissions for each library have been carefully defined and documented, with oversight provided by James Dew and QLIC. The ATL_Server library will be retired once all data has been successfully migrated. To preserve historical records, files older than two years are being moved to a dedicated Archive library. This archive will be accessible online in view-only mode, ensuring data integrity while reducing active storage demands.
The restructuring has significantly improved system performance and user experience. Staff now benefit from faster synchronisation, reduced crashes, and clearer organisation of departmental data. The new libraries offer streamlined access and enhanced manageability, while the Archive ensures long-term data retention without compromising system efficiency. By aligning with Microsoft’s best practices, ATL Services has future-proofed its SharePoint infrastructure, enabling scalable growth and improved collaboration across teams.
