The Organisation

Callaghan Brickwork is a specialist construction business providing brickwork services for building projects. With a small office team supporting day-to-day operations, the business relies on dependable communication, document access, and device management to keep site and office activity aligned. As the organisation continued to grow, it needed a more structured and secure IT environment to support staff, protect business data, and improve consistency.

The Challenge

The business was operating with a mixture of personal Microsoft 365 licences, local device storage, OneDrive, and Dropbox, which had developed over time as practical short-term solutions. Email was being managed through Outlook, while file sharing and storage were spread across multiple locations, making it harder to maintain consistency and visibility. OneDrive syncing was not performing reliably, which created frustration around access to shared information and increased the risk of version issues or missing files. The organisation also needed to onboard new devices, upgrade an existing device to Windows Pro, and put stronger foundations in place for identity management, endpoint security, and backup. Because the office environment included a varied device estate and specialist hardware, an in-person onboarding approach was required to capture the full picture and ensure nothing important was missed.

The Approach

We designed an onboarding and modernisation programme focused on creating a more joined-up, secure, and manageable Microsoft-based environment for the business. The first step was an in-person onboarding survey so the estate could be documented properly, including existing desktops, mixed device types, and specialist peripherals such as the large-format printer. This allowed the support plan to reflect the practical realities of the office rather than relying on assumptions.
From there, we prepared a move away from personal Microsoft 365 licensing towards a business-appropriate setup that would support better administration, security, and long-term scalability. We planned the deployment of Microsoft Intune and Entra ID across the three existing devices and two new desktops, giving the business a more consistent way to manage devices, users, and access controls. One existing home edition machine was also scheduled for upgrade to Pro so it could be brought into the managed environment correctly.
To improve resilience and data governance, we included Datto backups for Microsoft 365, covering SharePoint and core users, alongside the rollout of Sophos Intercept X Essentials across all devices. A Microsoft 365 security baseline project was also included to strengthen the default security posture. Because the business’s data was spread across Dropbox, OneDrive, and local storage, the SharePoint migration was approached as both a technical and organisational exercise, with collaboration to help shape a practical folder and permissions structure that matched how the team worked in reality.

The Results

The onboarding programme gave Callaghan Brickwork a clear path from a loosely connected IT setup to a more structured business platform. By standardising around managed Microsoft services, the organisation gained a stronger foundation for administration, user access, and future support. Moving away from personal licensing helped position the business for better governance and reduced the risk that important services would remain outside central control.
The planned introduction of Intune and Entra ID improved consistency across both existing and newly supplied devices, making it easier to maintain standards and support staff effectively. The new desktop replacements also provided an opportunity to refresh ageing hardware and improve the day-to-day user experience for key office roles. With endpoint security and Microsoft 365 backup included, the business was also better placed to reduce risk and strengthen resilience.
Just as importantly, the SharePoint migration created an opportunity to bring business data together from multiple sources into a more organised and supportable structure. This helped reduce reliance on fragmented storage methods and laid the groundwork for more reliable file access, improved collaboration, and a smoother experience for the office team.
