KHD Architecture is a small architectural practice that relies on dependable technology to support day-to-day collaboration, document management, and communication. With staff working flexibly and a growing need for systems that are easy to manage, the business wanted its IT environment to remain practical, secure, and well suited to both current operations and future development.
KHD Architecture wanted to review its IT infrastructure and telephony arrangements to ensure they continued to support the business effectively. Its existing environment was centred on Microsoft 365 services, including Exchange, Teams and SharePoint, providing a strong cloud-based foundation. However, the firm recognised the opportunity to strengthen the way these services were organised, supported and developed over time.
As a small and agile practice, the business needed an IT partner that could provide fast, reliable support, direct access to experienced engineers, and practical advice without unnecessary complexity. Alongside day-to-day support requirements, there was also a need to assess options for a more suitable telephony solution and to improve document management through a better structured SharePoint environment. The overall aim was to create a more resilient, flexible and cost-effective technology setup that would support staff efficiently and scale with the organisation’s needs.
Our approach focused on combining responsive support with practical improvements to KHD Architecture’s Microsoft 365 environment. From the outset, we aligned our service around clear communication, direct access to engineers, and proactive guidance so that staff could get timely help without having to navigate unnecessary layers of process. We also tailored support around flexible working patterns, helping users schedule assistance in a way that minimised disruption to their daily responsibilities.
A key part of the engagement was the design and delivery of a new SharePoint Online solution structured around the organisation’s operational needs. We configured five document libraries, each aligned to specific business functions, and secured them through Microsoft 365 security groups so that access could be managed appropriately and consistently. To support a controlled migration, we established access to the primary agreed data source and created a secure copy of the data within a build environment before any live migration work took place. Content was then uploaded into the relevant SharePoint libraries with folder structures preserved, helping ensure information remained familiar, well organised and easy to navigate.
We also completed an on-site visit to configure user devices for SharePoint access using Files On-Demand, enabling efficient access to documents without unnecessary local storage consumption. During this work, legacy network storage was reviewed and archived data was copied to client-owned backup media for long-term retention and independent access. To support consistency going forward, outdated sharing links were removed and an initial Microsoft 365 tenant configuration issue was identified and corrected, helping ensure future device setups would apply the correct company information as standard.
KHD Architecture now has a more structured and manageable Microsoft 365 environment, with SharePoint configured in a way that better reflects how the business operates. The new document libraries provide clearer organisation of information, while security group-based permissions support more consistent and appropriate access across the organisation. This has made day-to-day document handling more straightforward for staff and created a stronger foundation for future collaboration.
The migration approach helped protect data integrity throughout the project by introducing a secure staging process before information was moved into the live SharePoint environment. Device configuration using Files On-Demand improved the user experience by allowing staff to access files efficiently without placing unnecessary pressure on local device storage. The review of legacy storage and retention of archived data on client-owned backup media also ensured historical information remained accessible without complicating the live working environment.
